For B2B and service teams
A B2B inquiry can pass from a relationship owner to a specialist, an estimator and delivery. Preserve the original request and the decisions each person makes before adding automation.
Follow one request through the team
Choose one recent inquiry and trace who received it, who checked the fit, who supplied technical or pricing context, and who accepted the handoff into delivery. Record the source message, decision owner, missing facts and next action. Ask which details the delivery team must verify before promising scope or timing.
Build a reviewable handoff
A focused build could capture the source, flag duplicates, prepare a summary and route missing details to an owner. A proposed qualification or response is still a draft until the responsible person checks it. Keep the existing system of record until the team agrees on a replacement and recovery path.
Agree on access before connecting
List the systems and fields needed for this one task, the accounts that own them and the access to remove at handoff. The FTC advises businesses to agree in writing how vendors may use, retain and delete data, and to verify compliance. Treat that advice as a starting point for a scope discussion, not evidence that a particular integration is secure.
Acceptance and measurement
Use representative inquiries, including duplicates, missing context and failed notifications. Have the delivery owner check whether the record is complete and the source is traceable. Compare accepted cases, elapsed time, human review and rework, correctness and total cost with the same baseline. Do not count a generated summary as a qualified sale.
